Which processes to automate first with AI

Author: Kristian Karaivanov, Founder · AI and softwarePublished:

Start with the process that repeats often, takes many hours, follows clear rules and where a mistake is easy to fix. Typical first candidates are replying to enquiries, quoting, invoice processing and daily reports. Avoid, at first, processes with rare, unique cases or high risk.

The four questions

  • How often does it happen? Daily tasks pay back most.
  • How long does it take? Count the hours per month.
  • Are there clear rules? If a person can explain them, an AI can follow them.
  • What does a mistake cost? To start, pick a process where mistakes are easy to catch and fix.

Good first candidates

  • Sales: replying to enquiries within a minute, quotes, follow-ups.
  • Service: common questions, order status, booking appointments.
  • Finance: entering and checking invoices, payment reminders.
  • Operations: daily reports from notes and voice messages.

Poor first candidates

Processes with few cases, each different, with serious consequences and no written rules. Tidy the process first, then automate it.

The next step

In the free audit we go through these questions together in 30 minutes, and you leave with the three processes to automate first and how many hours they will save.
